The Maryland General Assembly passed a law earlier this year that requires Maryland employers to provide paid “Earned Sick and Safe Leave” to employees. Employees must earn at least 1 hour of leave for every 30 hours they work. Employees can earn up to 40 hours of leave per year. Tradepoint Atlantic’s Personal Time Off “PTO” is more generous than the state’s requirements. Tradepoint Atlantic’s PTO leave will not be tracked with “banks” of separate hours (e.g., sick, personal, vacation, etc.); all time off will be tracked as personal (PTO). The law also requires employers to track employees’ Safe and Sick hours, or in our case PTO hours, used and available.
The attached policy for requesting, reporting and tracking PTO hours is effective May 1. The policy includes information about the law, as well as instructions how to request PTO time and view your used and available PTO in KELLY’s system.
In brief, the steps are:
Step 1. Employee: Request PTO as soon as possible for all known upcoming PTO hours or days, or after the fact for extenuating circumstances that were previously approved by your manager verbally or via text.
Create an email to your manager with subject “PTO Request” and flag high importance. Copy to HR [email protected].
Enter requesting hours, day or dates for PTO usage.
Step 2. Manager: “Reply All” with approval or denial (including days/times previously approved verbally or via text.)
Step 3. HR: Records PTO time on Tradepoint Atlantic HR calendar (available for employees to view only – go to Open Calendar, Open Shared Calendar, type Tradepoint Atlantic HR) and records hours/days used in KELLY Payroll against employee’s PTO time record.
All payroll time is entered on Monday mornings. Please email your manager by Friday for this week’s PTO usage. (NOTE: The KELLY system for each exempt employee will be updated in the next couple of days to reflect zero (0) days used and 39.27 accrued, to get each exempt employee to the allotted 120 hours by year end.) You may use hours before they are accrued.
